Job Summary

Sri Vijay Vidyalaya Group of Institutions is seeking an experienced and result-oriented Purchase Manager to lead and manage the procurement function across all campuses. The candidate will be responsible for sourcing, purchasing, vendor management, inventory control, cost optimization, and ensuring timely availability of materials, equipment, and services required for the smooth functioning of the institution.

Key Responsibilities

Procurement & Purchasing

    • Manage end-to-end procurement activities for all institutional requirements.
    • Procure educational materials, books, laboratory equipment, stationery, furniture, IT equipment, sports materials, transport-related items, housekeeping supplies, and maintenance materials.
    • Ensure timely procurement of goods and services while maintaining quality standards.
    • Prepare and monitor purchase orders, quotations, comparative statements, and procurement reports.
    • Develop annual and monthly procurement plans based on departmental requirements.

Vendor Management

    • Identify, evaluate, and onboard reliable vendors and suppliers.
    • Build and maintain strong relationships with vendors.
    • Negotiate pricing, payment terms, delivery schedules, and service agreements.
    • Conduct periodic vendor performance reviews and maintain approved vendor databases.

Cost Control & Budget Management

    • Achieve cost savings through strategic sourcing and negotiations.
    • Ensure purchases are made within approved budgets.
    • Analyze procurement expenses and recommend cost-effective alternatives.
    • Prepare procurement MIS reports for management review.

Inventory & Asset Management

    • Monitor stock levels and coordinate with stores for replenishment.
    • Ensure proper inventory control and avoid stock shortages or excess inventory.
    • Coordinate periodic stock audits and asset verification activities.
    • Maintain accurate procurement and inventory records.

Compliance & Documentation

    • Ensure procurement activities comply with institutional policies and procedures.
    • Maintain purchase files, vendor contracts, invoices, and supporting documents.
    • Coordinate with Accounts and Finance departments for payment processing.
    • Support internal and external audits related to procurement activities.

Department Coordination

    • Work closely with Principals, Administrators, HODs, Transport, Hostel, Maintenance, and IT departments to understand procurement requirements.
    • Ensure timely fulfillment of departmental requests.
    • Support infrastructure expansion and new project procurement requirements.

Qualification Requirements

    • Bachelor's Degree in Commerce, Business Administration, Supply Chain Management, Logistics, or related field.
    • MBA / PG Diploma in Supply Chain Management preferred.
    • Minimum 5–10 years of experience in Purchase, Procurement, or Supply Chain Management.
    • Experience in Schools, Colleges, Universities, Hospitals, or Large Institutions preferred.

Required Skills

    • Strong negotiation and vendor management skills.
    • Knowledge of procurement processes and inventory management.
    • Excellent analytical and cost-control abilities.
    • Proficiency in MS Excel, ERP Systems, and Procurement Software.
    • Strong communication, leadership, and team management skills.
    • Ability to work under pressure and meet deadlines.
